The Ultimate Kids' Birthday Party Timeline (So Nothing Goes Wrong)

You've sent the invites. You've ordered the cake. And somewhere in the back of your mind, you're hoping the day just... goes smoothly.

Here's the timeline we've seen work at parties across the Grosse Pointe and St. Clair Shores area. We've done enough of them to know what works — and what doesn't. Whether you're renting an inflatable or not, this framework keeps the chaos in check.


6–8 Weeks Out: Lock In the Big Pieces

  • Book your inflatable rental. Summer weekends — especially in June and July — fill up fast. We've turned away families who tried to book a week before their party. Don't be that family.
  • Confirm your venue. Backyard, park, or someone else's space — make sure you have permission and a backup plan if weather turns.
  • Set your guest list. Knowing roughly how many kids helps you choose the right size unit and plan food quantities.

3–4 Weeks Out: The Details

  • Send invites (paper or digital — both work; include start time, end time, and the address clearly)
  • Order or plan your food. For outdoor summer parties, keep it simple: hot dogs, pizza, or a taco bar are all crowd-pleasers that don't require a lot of prep-day cooking.
  • Plan the cake or dessert and place any custom orders now if needed.
  • Confirm your inflatable booking and provide your street address and setup preferences.

1 Week Out: Final Check

  • RSVP count. Chase down the non-responders now.
  • Weather check. Not a final call yet, but start watching. Michigan weather in May and June can be unpredictable.
  • Prep your yard. Mow the grass, clear the setup area, check gate access (see our backyard checklist post for details).
  • Expect a check-in from us. We'll reach out the day before to confirm your delivery window — it helps us schedule our routes and makes sure you're not caught off guard on party morning.

Day Before: Set Yourself Up

  • Inflate and test nothing yourself — that's our job. But do make sure your outdoor outlet is accessible.
  • Pre-set tables and chairs if you can, so party morning is less hectic.
  • Charge your phone. You'll take a lot of photos.
  • Prep the goodie bags and any games or activities beyond the inflatable.

Party Morning (2–3 Hours Before Guests Arrive)

8:00–10:00 AM — Our delivery team arrives, sets up the inflatable, secures it, and walks you through the safety guidelines. This takes about 30–45 minutes for most units.

10:00 AM — Final yard setup: tables, decorations, food and drinks (covered or in the fridge until party time).

10:30 AM — Shower, get dressed, take a breath.

11:00 AM — First guests arrive.

During the Party: The Inflatable Runs Itself (Mostly)

The biggest gift a bounce house or obstacle course gives you is hours of structured, self-directed activity where kids are fully occupied and you're not running activities. Use that time to talk to adults, manage the food, and take photos you'll actually want to keep.

A few tips:

  • Review the rules sign near the entrance (no shoes, no sharp objects, age or weight limits)
  • Designate one adult to rotate groups if you have a big crowd
  • For obstacle courses, races and timed challenges keep older kids engaged

End of Party: The Pickup Plan

Let guests know the party end time on the invite — and stick to it. Pickup time is real, and we'll be there to collect.

For wet rentals, give kids a 30-minute warning so they can dry off and say their goodbyes before we start teardown.
